DOT Compliance Services for Motor Carriers
Every service we offer exists to protect one of the areas an inspector reviews. An FMCSA investigator or a California Highway Patrol Motor Carrier Specialist looks at your drivers, your testing program, your hours records, your vehicles, your accident history and your registrations. We organize our services the same way, so you can find the one that matches the problem you have, and so a full engagement covers everything an inspector will.
Two ways to work with us
Every service starts from the same offer:
| Assessment | Assessment plus remediation | |
|---|---|---|
| What you get | The review an investigator would run, in the same order, in writing | The same review, then we fix what it found |
| Deliverable | A gap report ordered by consequence, with every finding cited to its rule | Corrected records, documented processes, a program ready for inspection |
| Price | Ask about pricing | Ask about pricing |
The gap report is yours whether or not you hire us to fix it.
Audit readiness
DOT audit preparation and representation
New entrant safety audits, FMCSA compliance reviews, CHP terminal inspections, mock audits and corrective action plans, including emergency response when the letter has already arrived. This is where most carriers start. DOT audit preparation
New entrant compliance
A build sequence for carriers with a new USDOT number, in the order the new entrant auditor checks it, with the findings that fail the audit on their own fixed first. New entrant compliance
Drivers
Driver qualification files
Audit, build-out and ongoing maintenance of Part 391 files: applications, previous employer investigations, driving records, medical certificates and annual reviews. Driver qualification files
Driver credential and document monitoring
Expiration tracking with notice before licenses, medical certificates, endorsements and special certificates lapse, plus collection and review of the renewed documents. This is the service that turns a one-time cleanup into a program that stays clean. Credential monitoring
Driver license and MVR monitoring
California Employer Pull Notice enrollment and administration, now required to be electronic, alongside the federal annual review of each driver’s record. License and MVR monitoring
Drug and alcohol programs
Program setup and review against Part 382, random testing, Clearinghouse queries and supervisor training, with the scope of ongoing administration confirmed per engagement. Drug and alcohol programs
Safety training
A role-by-role map of the training your supervisors, hazmat staff, mechanics and California employees need, with the records to prove it. Safety training
Operations
Hours of service and ELD compliance
Log audits, ELD ruleset configuration for federal and California intrastate drivers, exception documentation and falsification review. Hours of service and ELD
Vehicle and maintenance compliance
Driver inspection reports, annual inspections, repair records, inspector qualifications and on-site vehicle and terminal walkthroughs. Vehicle and maintenance compliance
Telematics and compliance technology
Setting up the platforms you already pay for so they produce records an auditor accepts, without recommending tools we have not disclosed a relationship with. Telematics and compliance technology
Safety record
CSA score management
Monthly review of your Safety Measurement System data, DataQs challenges under the procedures in effect since September 13, 2026, and fixes for the operations producing the violations. CSA score management
Accident and crash management
The accident register, preventability reviews, post-accident testing decisions and the documentation insurers and investigators ask for. Accident and crash management
Registrations
Registration, filings and fuel tax
USDOT registration and biennial updates, UCR, IRP and IFTA coordination, and California’s CA number and Motor Carrier Permit, kept on one calendar. Registration, filings and fuel tax
Ongoing management
Outsourced compliance director
Monthly program management for fleets that need someone to own compliance, and start-up builds for new terminals. Every other service on this page is a component of it. Outsourced compliance director
Which service fits your situation
| If this is happening | Start here |
|---|---|
| An FMCSA audit letter or CHP inspection notice arrived | DOT audit preparation, emergency response |
| You just received a USDOT number | New entrant compliance |
| A broker, insurer or warning letter flagged your safety data | CSA score management |
| Driver files are incomplete or nobody knows when cards expire | Driver qualification files and credential monitoring |
| Your California permit was suspended | Registration, filings and fuel tax and the Motor Carrier Permit guide |
| Logs show violations you do not understand | Hours of service and ELD |
| A crash just happened | Accident and crash management |
| Nobody owns compliance | Outsourced compliance director |
When more than one row applies, the assessment sorts out the order. The rule of thumb is consequence first: anything that can put a driver or vehicle out of service, or fail an audit on its own, comes before paperwork that is merely incomplete.
How an engagement runs
- Intake. We list your vehicles, drivers, terminals and lanes, and decide which federal and state rules apply to each.
- Review. We run the review an investigator would run, sampling records the same way.
- Report. You get the gap report, with every finding cited to its rule and ordered by what fails first.
- Fix. If you choose remediation, we rebuild records and processes and recheck them.
- Keep it clean. Monitoring and monthly management keep the program from drifting back.
What we do not do
Being clear about scope is part of being accurate. We do not provide legal advice, and questions such as worker classification or contract disputes go to counsel. We do not deliver entry-level driver training, which must come from a provider on FMCSA’s Training Provider Registry. We do not handle customs or border agency filings. And we do not offer expert witness services. When a question is outside our scope, we will say so and point you to the right kind of professional.
Where we work
California carriers get on-site and remote service. Carriers in Oregon, Washington and Arizona are served remotely, with on-site options depending on schedule and requirements. See locations for state, regional and corridor pages.
Common questions
Frequently asked questions
Where should a carrier start?
Most carriers start with an assessment, the same review an investigator would run, because it shows which services matter for their operation. Carriers with an audit letter in hand start with emergency audit response.
Do you only work with trucking companies?
No. We work with property carriers, school bus and pupil transportation operators, passenger and motorcoach carriers, and private fleets that haul their own goods. The rules differ by operation, and our industry pages explain how.
Can I hire you for one service only?
Yes. Each service can be engaged on its own. Many carriers start with one, such as driver qualification files, and add monitoring or monthly management once the first problem is fixed.
How much does it cost?
It depends on the size of your operation and the scope you choose: an assessment on its own, or the assessment plus remediation. Tell us about your fleet and we will walk you through the options.
What do you need from us to start?
A list of your vehicles, drivers, terminals and lanes, and access to the records an investigator would sample: driver files, testing records, logs, maintenance files, the accident register and your registrations. We send a structured request so you are not guessing.
Next step
Start with the review an inspector would run
